VIZIO is seeking an Administrative Assistant/Office Manager to join their Seattle team! The successful Office Manager will have strong communication and people skills while also delivering high attention to detail and organization. The Office Manager will be closely integrated with the business and oversee several critical functions pertaining to the Seattle office with impact on the overall business.

What you'll do...

We are looking for a proactive and organized Office Manager to oversee day-to-day operations and ensure a smooth, efficient, and welcoming office environment. In this role, you will serve as the primary point of contact for all matters related to office maintenance, mailing, shipping, equipment, supplies, bills, and errands. You will also work closely with HR to uphold company policies and support a positive workplace culture.

A key part of your responsibilities will include facilitating the onboarding process in partnership with IT and HR, helping new hires have a seamless start. You will manage relationships with vendors, service providers, and the landlord, ensuring smooth operations related to parking, utilities, internet, and other facility needs. Additionally, you will coordinate the check-in and check-out of visitors, ensuring they have a positive experience while on-site.

You will be responsible for planning and executing procurement of equipment, managing office layouts, and maintaining efficient office systems. You will also be tasked with ensuring data security, integrity, and confidentiality, as well as overseeing compliance with office policies and procedures. This includes maintaining inventory levels for office supplies, snacks, and beverages, as well as coordinating travel, conference room bookings, and appointments.

The role also involves reviewing and analyzing special projects, keeping leadership informed, and actively supporting company event planning and execution. As part of ongoing health and safety efforts, you will monitor and manage COVID-19 protocols including PPE, testing, and signage, and help maintain a safe and secure working environment.

Additionally, you will manage vendor and service provider relationships, ensuring timely invoicing and payment, and handling contract and price negotiations. You’ll be responsible for organizing office operations and procedures, controlling correspondence, maintaining filing systems, approving supply requisitions, and assigning clerical tasks appropriately. Regular coordination of meals for the office multiple times a week will also fall under your duties.

What You Will Bring

You bring over five years of proven experience in office management, administration, or as an executive assistant.

You have a strong understanding of office management responsibilities, systems, and procedures, and you're proficient in using MS Office and general computer tools to support daily operations.

Your excellent time management skills allow you to effectively handle multiple tasks and prioritize work in a dynamic environment.

You pay close attention to detail, demonstrate strong problem-solving abilities, and communicate clearly and professionally in both written and verbal forms.

In addition, you have a solid grasp of Human Resources management practices and procedures, making you a reliable partner in maintaining a well-run and compliant office.

The annual salary range for this position is $54,000.00-$96,000.00
