What you'll do...

Provides project management support for departmental initiatives by scheduling project activities; monitoring project timelines and budgets; managing stakeholder communications; reviewing and implementing processes to increase efficiency and integration into the business; and developing forms and processes to streamline communication updates. Assists with the oversight of department administration by providing input on annual budgets, monthly profit and loss review paperwork and scorecards, and invoice processing; coordinating team training, development, and team-building activities; planning departmental meetings; and facilitating team meetings. Coordinates, plans, and schedules projects, travel, and events by researching and identifying options, resources, and cost efficiencies; establishing dates, timelines, and agendas; identifying and coordinating specific technology needs; organizing and scheduling pre-travel preparation business needs (for example, documentation, medical requirements, security); and acting as a coordinator or liaison for visiting associates and guests. Develops electronic, verbal, and written communications for leadership by ensuring resolution of requests; communicating with senior leadership to gather information and resolve issues; drafting and sending communications on behalf of supervisors; reviewing content and editing documentation; and receiving, reviewing, and prioritizing incoming messages. Supports supplier and funder request for proposal (RFP) or statement of work (SOW) processes to achieve departmental goals by managing communication related to proposal or SOW submission; negotiating initial contract terms under the guidance of management; and evaluating and prioritizing proposals or SOWs and recommending them to leadership for final selection or approval. Demonstrates up-to-date expertise and applies this to the development, execution, and improvement of action plans by providing expert advice and guidance to others in the application of information and best practices; supporting and aligning efforts to meet customer and business needs; and building commitment for perspectives and rationales. Provides and supports the implementation of business solutions by building relationships and partnerships with key stakeholders; identifying business needs; determining and carrying out necessary processes and practices; monitoring progress and results; recognizing and capitalizing on improvement opportunities; and adapting to competing demands, organizational changes, and new responsibilities. Models compliance with company policies and procedures and supports company mission, values, and standards of ethics and integrity by incorporating these into the development and implementation of business plans; using the Open Door Policy; and demonstrating and assisting others with how to apply these in executing business processes and practices.
