Position Summary...
The Staff, Technology Operations role owns the operating cadence, communications, and engagement mechanisms that keep the organization aligned, informed, and executing efficiently. This position leads end-to-end planning and delivery of All Hands, QBR/MBR and other business reviews, maintains the business calendar, manages leadership meeting logistics and materials, coordinates offsites, and drives team-wide communications and engagement programs.What you'll do...
All Hands Ownership
- Own the end-to-end All Hands program: agenda planning, content intake, narrative development, speaker prep, run-of-show, and facilitation.
- Partner with leaders to translate priorities into clear, compelling updates (wins, metrics, roadmap, risks, decisions).
- Manage production logistics (invites, tech checks, recordings, Q&A moderation, follow-ups) and publish post-meeting artifacts.
- Establish a repeatable All Hands operating model (cadence, templates, timelines, and quality standards).
Team Engagement
- Design and run team engagement programs (recognition, awards, kudos, celebrations, team culture moments) that reinforce desired behaviors and improve connection.
- Build lightweight processes for nominations, selection, and communications; ensure programs are inclusive and scalable.
- Coordinate team events and measure engagement effectiveness via participation and feedback.
Business Calendar Management
- Own and maintain the centralized business calendar across key cadences (All Hands, QBR/MBR, leadership meetings, planning milestones, major launches).
- Manage scheduling conflicts, dependencies, and stakeholder availability; ensure calendar hygiene and clear ownership.
- Publish forward-looking views and reminders to improve preparedness and reduce last-minute churn.
Offsite Logistics Coordination
- Plan and coordinate offsite logistics end-to-end: objectives alignment, agenda support, venue/vendor coordination, travel guidance, budget tracking (if applicable), and day-of execution.
- Ensure offsites produce actionable outputs (decisions, commitments, action items) and that follow-ups are documented and tracked.
Business Review Operations
- Own the operating model for QBRs, MBRs, and other business reviews: timelines, content standards, templates, pre-reads, and facilitation support.
- Drive content intake and consolidation; ensure materials are decision-oriented, consistent, and executive-ready.
- Track actions, decisions, and follow-ups; maintain a backlog of themes and recurring issues for continuous improvement.
Leadership Meeting Logistics
- Manage logistics for leadership meetings: scheduling, agendas, pre-reads, attendee coordination, and meeting operations.
- Ensure meetings run efficiently with clear outcomes, timekeeping, and documented decisions/action items.
- Maintain a consistent cadence and structure to reduce overhead and improve decision velocity.
Leadership Documentation, Presentations, and Repository Ownership
- Own leadership documentation and presentation workflows: drafting support, formatting, version control, and publishing.
- Maintain a centralized repository for leadership materials (decks, pre-reads, decision logs, action trackers), ensuring it is organized, searchable, and current.
- Establish documentation standards (naming conventions, templates, review cadence, access controls).
Team-wide Communications
- Own the team’s communication strategy and channels (announcements, weekly updates, key changes, reminders), ensuring clarity and consistency.
- Create reusable comms templates and a predictable cadence to reduce ad hoc requests.
- Partner with leaders to craft messages for sensitive or high-impact updates and ensure alignment across stakeholders.
Cross-Functional Collaboration
- Partner closely with leadership, product/engineering/program teams, and enablement partners to align on priorities and ensure consistent messaging.
- Influence without authority to drive adoption of standard cadences, templates, and communication norms.
What You'll Bring...
- Bachelor’s degree in Business, Communications, Operations, or related field (or equivalent experience).
- 8+ years of experience in technology operations, business operations, program operations, chief-of-staff, or similar roles.
- Demonstrated experience running executive cadences (All Hands, QBR/MBR), building decks/pre-reads, and managing stakeholder communications.
- Strong organizational skills with the ability to manage multiple timelines, stakeholders, and deliverables.
Preferred Qualifications
- Experience supporting a product/engineering organization.
- Experience coordinating offsites and large-scale meetings across distributed teams.
- Familiarity with knowledge management and repository governance (structure, versioning, access).
